DaycareHubBC (“DaycareHubBC,” “we,” “us,” or “our”) is committed to protecting your privacy.

This Privacy Policy explains how we collect, use, disclose, store, and protect personal information when you use the DaycareHubBC website and services.

DaycareHubBC is based in British Columbia, Canada. We handle personal information in accordance with British Columbia's Personal Information Protection Act (“PIPA”) and other applicable Canadian privacy laws, including the Personal Information Protection and Electronic Documents Act(“PIPEDA”) where it applies.

Where consent is required by law, we will ask for consent at or before the time personal information is collected, or as otherwise permitted by applicable law.

Information We Collect

The information we collect depends on how you use DaycareHubBC.

Account Information

When you create or use an account, we may collect information such as:

  • name
  • email address
  • phone number
  • account type or role, such as parent, daycare provider, teacher, or administrator
  • authentication and account-related information

Parent and Family Information

When a parent or guardian uses features such as daycare waitlists or tour bookings, we may collect information needed to provide those services, including:

  • parent or guardian contact information
  • daycare preferences
  • desired start date
  • schedule preferences
  • selected daycare locations
  • waitlist or application status
  • tour booking information and appointment times

Children's Information

DaycareHubBC is intended for parents, guardians, daycare providers, and childcare professionals. Children do not create accounts or submit their personal information directly to DaycareHubBC.

A parent or legal guardian may provide information about a child when joining a daycare waitlist or using other childcare-related features. This information may include:

  • child's name
  • date of birth
  • age or age group
  • allergies
  • special needs or other care-related information
  • schedule preferences
  • desired childcare start date

By providing personal information about a child, you confirm that you are the child's parent or legal guardian, or that you are otherwise authorized to provide that information.

Some information about a child, such as allergies, medical-related needs, or special care requirements, may be sensitive. We use and disclose this information only as reasonably necessary to provide the childcare-related service requested by the parent or guardian.

Provider and Teacher Information

Depending on the features you use, we may also collect information provided by daycare operators and childcare professionals, such as:

  • contact and profile information
  • daycare or business information
  • employment or job application information
  • availability, qualifications, or other information submitted through the platform

Payment Information

DaycareHubBC uses Stripe to process payments for paid services or subscriptions.

Payment information is processed by Stripe. DaycareHubBC does not receive or store full credit card numbers on its own servers.

We may receive limited payment-related information from Stripe, such as payment status, subscription status, transaction identifiers, and billing-related account information.

Technical and Usage Information

When you use DaycareHubBC, we and our service providers may collect certain technical information needed to operate, secure, and improve the platform. This may include information such as:

  • how you interact with DaycareHubBC
  • pages or features you use
  • tour bookings, applications, and other service activity
  • device, browser, IP address, log, or security information where collected by our systems or service providers

The specific technical information collected may depend on the services and features you use.

We may use essential cookies and similar technologies to keep users signed in, maintain secure sessions, prevent fraud and abuse, and enable core Platform functionality.

How We Use Personal Information

We may use personal information to:

  • create, authenticate, and manage user accounts
  • connect families with daycare providers
  • process daycare waitlist applications
  • manage tour bookings
  • help daycare providers review applications and communicate with families
  • facilitate communication between parents, daycare providers, and other users where applicable
  • send account, waitlist, tour, spot offer, and other service-related notifications
  • process provider subscriptions and payments
  • operate maps and location-based features
  • prevent spam, fraud, abuse, unauthorized access, and other security threats
  • respond to customer service or support requests
  • maintain and improve DaycareHubBC
  • troubleshoot technical problems
  • comply with legal obligations
  • enforce our Terms of Service and protect the rights, safety, and security of DaycareHubBC and its users

We aim to collect and use only the personal information reasonably necessary for the purposes described in this Privacy Policy.

How We Share Personal Information

We do not sell personal information.

We disclose personal information only as reasonably necessary to operate DaycareHubBC, provide services requested by users, work with service providers acting on our behalf, protect the platform, or where permitted or required by law.

Daycare Providers

When a parent or guardian applies to a daycare, joins a waitlist, books a tour, accepts a childcare spot, or otherwise chooses to interact with a daycare through DaycareHubBC, we may provide that daycare with the information reasonably necessary to respond to the request.

This may include parent or guardian contact information and information about the child that the parent or guardian has chosen to provide.

We do not provide a child's information to unrelated daycare providers simply because the information exists in a DaycareHubBC account.

Stripe

We use Stripe to process payments and manage paid subscriptions. Stripe may process billing and payment-related information. DaycareHubBC does not store full payment card numbers on its own servers.

Supabase

We use Supabase for services including database storage, authentication, and other backend infrastructure. Supabase may store and process account, application, profile, childcare, and other platform information on our behalf.

Resend

We use Resend to deliver service-related emails. Information such as your name, email address, and information necessary to generate or deliver a particular notification may be processed through Resend.

Google Sign-In

If you choose to sign in using Google, Google may provide us with basic account information needed to create or authenticate your DaycareHubBC account, such as your name and email address. Your use of Google Sign-In is also subject to Google's applicable privacy practices.

Google Maps

We use Google Mapsto display daycare, job, or other relevant locations. When you use features that include Google Maps, Google may process technical, device, location, or usage information in accordance with Google's own privacy practices.

Cloudflare Turnstile

We use Cloudflare Turnstile for spam, bot, and abuse prevention on sign-in and sign-up. Cloudflare may process technical or security-related information necessary to determine whether an interaction appears to be legitimate.

Other Service Providers

We may use other service providers that help us operate, host, secure, maintain, or support DaycareHubBC. Where these providers process personal information on our behalf, we expect them to use the information only for the services they provide to us and to protect it appropriately.

Processing Outside British Columbia or Canada

Some of our service providers may store, process, or access personal information outside British Columbia or outside Canada.

When personal information is processed in another jurisdiction, it may be subject to the laws of that jurisdiction and may be accessible to courts, law enforcement, or government authorities in accordance with applicable local laws.

DaycareHubBC remains responsible for personal information under our control and takes reasonable steps to ensure that service providers handling personal information on our behalf provide appropriate safeguards.

Consent and Your Choices

Where consent is required, we seek consent in a manner appropriate to the sensitivity of the information and the purpose for which it is being collected.

You may withdraw consent to certain uses of your personal information, subject to legal, contractual, or service-related restrictions.

Withdrawing consent may affect our ability to provide certain features. For example, if information is necessary to submit a daycare waitlist application, we may not be able to process the application without that information.

Service-related communications that are necessary to operate your account or complete a transaction may still be sent where permitted by law.

How Long We Keep Personal Information

We keep personal information only for as long as reasonably necessary to:

  • provide DaycareHubBC services
  • complete the purposes for which the information was collected
  • maintain appropriate business, transaction, security, and account records
  • resolve disputes
  • prevent fraud or abuse
  • comply with legal obligations

Different types of information may be retained for different periods depending on why the information was collected and how it is used.

In some circumstances, applicable law may require us to keep personal information for a minimum period before it can be deleted.

When personal information is no longer reasonably required, we take reasonable steps to delete, destroy, or anonymize it in accordance with our retention practices.

Some information may remain in secure backups for a limited period until those backups are overwritten or deleted through normal backup processes.

Data Security

We use reasonable administrative, technical, and organizational safeguards designed to protect personal information against risks such as:

  • unauthorized access
  • unauthorized use
  • unauthorized disclosure
  • alteration
  • loss
  • theft
  • destruction

Access to personal information is limited to users, administrators, and service providers who require access for legitimate purposes.

No method of electronic transmission or storage is completely secure, and we cannot guarantee absolute security.

Your Privacy Rights

Subject to applicable law, you may contact us to:

  • request access to personal information we hold about you
  • ask how we have used or disclosed your personal information
  • request correction of inaccurate or incomplete personal information
  • request deletion of personal information where applicable
  • withdraw consent where our use of information is based on consent
  • ask questions about our privacy practices
  • make a complaint about how we handle personal information

We may need to verify your identity before responding to certain requests.

A parent or guardian may also contact us about personal information they submitted about a child, subject to verification of their identity and authority and any applicable legal restrictions.

There may be circumstances where applicable law allows or requires us to refuse access, correction, deletion, or another request. If this occurs, we will explain the reason where required by law.

How to Delete Your Account

You may request deletion of your DaycareHubBC account and associated personal information by contacting us at support@daycarehubbc.ca.

We may ask you to verify your identity before processing a deletion request.

We will process valid deletion requests within a reasonable period and aim to complete account deletion within 30 days, except where information must be retained for legal, security, fraud-prevention, dispute-resolution, recordkeeping, or other lawful purposes.

Information stored in backups may remain for a limited period until those backups are overwritten or deleted through our normal backup processes.

Privacy Questions and Complaints

If you have a question or concern about how DaycareHubBC handles personal information, please contact our Privacy Officer first so that we can review and respond to the issue.

If your concern is not resolved, you may also have the right to contact the Office of the Information and Privacy Commissioner for British Columbia (OIPC BC) or, where applicable, the Office of the Privacy Commissioner of Canada (OPC).

Changes to This Privacy Policy

We may update this Privacy Policy from time to time as DaycareHubBC changes or as privacy requirements evolve.

When we update this Privacy Policy, we will change the “Last updated” date at the top of this page.

If we make a material change to how we collect, use, or disclose personal information, we will provide additional notice or obtain consent where required by applicable law.

We encourage users to review this Privacy Policy periodically.
